Privacy Statement
Last updated: 21 October 2026
1. Who we are
V2 ERP Ltd ("we", "us", "our", company number 17456292) provides IFS technical services. Our registered office is 71-75 Shelton Street, Covent Garden, London, United Kingdom, WC2H 9JQ. As the data controller, we are responsible for the personal data described in this statement, which explains how we collect, use and protect personal information you share with us through this website, including via our Contact Us form, CV submission portal and free report conversion service. It also explains what information our V2 MTD (Making Tax Digital) desktop software does — and does not — send to us (see section 5).
2. What is personal data?
Personal data is any information that identifies you, either on its own or combined with other information we hold — for example, your name, email address or a CV.
3. What we collect
- Contact details you submit, such as name, email address, phone number and company name
- The content of any enquiry or message you send us
- CVs and any information contained within them, if you apply for a role or submit a speculative application
- Crystal Reports (
.rpt) files and, optionally, report schema (.xsd) files you upload to our free report conversion service - Basic technical information such as browser type, generated automatically by your device when visiting the site
We do not knowingly collect special category data (such as health or religious information) or data relating to children through this website.
4. How we use it
- To respond to enquiries submitted through the Contact Us form
- To assess CVs and applications submitted through the Careers page against current and future vacancies
- To convert Crystal Reports files submitted through the free report conversion service, send the results back to you, and follow up about related technical services (see the GDPR notice for detail)
- To maintain records of our communications with you
- To meet legal and regulatory obligations
We do not use your personal data for any automated decision-making, including profiling, that produces legal or similarly significant effects on you.
5. V2 MTD (Making Tax Digital)
V2 MTD is desktop software that reads VAT return figures from your IFS Cloud environment and submits them to HM Revenue & Customs (HMRC) under Making Tax Digital for VAT. It runs on your own computers. This section explains exactly what it processes and where that information goes.
Your financial data stays between your ERP and HMRC
V2 MTD connects directly from your computer to your IFS Cloud environment and directly to HMRC's MTD APIs. Those connections are maintained between your ERP and HMRC only — they do not pass through V2 ERP's servers. In particular, none of the following is ever sent to V2 ERP:
- VAT return figures, tax proposals or any other financial or accounting data
- VAT registration numbers, VAT obligations, submission receipts, or payment and liability information
- Your HMRC or IFS Cloud sign-in credentials or access tokens
- Any other data held in your IFS Cloud environment
The fraud prevention information HMRC requires with every MTD submission (such as device and connection details) is also sent directly to HMRC, not to us. Your organisation remains the data controller for everything V2 MTD reads from IFS Cloud and submits to HMRC. V2 ERP does not receive, store or process this data, and is not a data processor for it.
Communication with V2 ERP is for license management only
The only communication between V2 MTD and V2 ERP is strictly in relation to license management — activating, renewing and requesting a license — through our licensing service at licensing.v2erp.tech. The information exchanged is used strictly for license management and is limited to what we need to issue and manage a license for a specific computer. No financial, tax or ERP data is ever included in these exchanges. We use this information only to issue, renew and support your licenses. We keep it for as long as you hold a V2 MTD license with us, and afterwards only for as long as we need to meet our legal and accounting obligations.
At start-up, V2 MTD also checks a public file on our website to see whether a newer version is available. This check only downloads information from us. It does not send us any data about you, your organisation or your use of the software.
6. How long we keep it
- Contact Us enquiries — kept for up to 24 months from your last contact with us, then securely deleted.
- CVs and job applications — if your application is unsuccessful, kept for up to 6 months from the date you applied, so we can consider you for other suitable roles in that window, then securely deleted. If you join us, your data moves into our employment records instead.
- Free report conversion service — see the GDPR notice, which sets out a specific 12-month retention period for submission records and earlier deletion of uploaded report files.
We may keep data for longer where we're required to by law, or where we reasonably believe it may be relevant to a legal claim.
7. Sharing your information
We do not sell personal data. We share it only where necessary, with service providers who help us operate this website and deliver these services under appropriate confidentiality and data protection terms — for example, our cloud hosting provider (Microsoft Azure), our spam-protection provider (Cloudflare, via the Turnstile widget on our forms — see our Cookie Policy) and our email delivery provider. We will get your express consent before sharing your data with any third party for their own marketing purposes. We may also share personal data with legal or regulatory bodies where necessary to comply with the law.
8. International transfers
We primarily host and process personal data using UK and EU service providers. Where a service provider we use may process data outside the UK, we make sure appropriate safeguards are in place first, such as the UK's International Data Transfer Agreement or a provider's UK adequacy status.
9. Is the personal data secure?
We take the security of your data seriously. Submissions to this website are made over an encrypted (HTTPS) connection, and our forms are protected against automated abuse by Cloudflare Turnstile. We limit access to your personal data to employees who need it for business purposes, and they are subject to confidentiality obligations.
10. Your rights
You have rights over your personal data, including the right to access, correct, or request deletion of the information we hold about you. See our GDPR page for details on how to exercise these rights.
11. Changes to this statement
This statement is reviewed regularly and may be updated from time to time. Please check this page each time you visit the website.
12. Contact us
If you have questions about this Privacy Statement or wish to exercise any of your data rights, please contact us.
13. Complaints
We'd appreciate the chance to resolve any concerns directly — please contact us first. You also have the right to lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk at any time.
